Descriptions

Responsibilities:

  • Act as the primary point of contact for the Director, managing and prioritizing incoming communications (emails, calls, and correspondence) with professionalism and discretion.
  • Coordinate and manage the Director's calendar, schedule appointments, meetings, and travel arrangements, ensuring effective time management.
  • Prepare and organize materials for meetings, including agendas, presentations, reports, and other relevant documents.
  • Conduct research, compile data, and prepare reports or presentations as required by the Director.
  • Assist in drafting, proofreading, and editing correspondence, memos, and other documents.
  • Coordinate and liaise with internal departments, external partners, clients, and stakeholders on behalf of the Director.
  • Handle confidential information with utmost discretion and maintain confidentiality at all times.
  • Anticipate needs and proactively address tasks to facilitate the Director's workflow and priorities.
  • Manage administrative tasks such as expense reports, invoice processing, and office supply management.
  • Support ad-hoc projects and initiatives as assigned by the Director.

Requirements:

  • Proven experience as an Executive Assistant or similar role supporting senior executives or directors.
  • Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Excellent verbal and written communication skills, with a high level of professionalism.
  • Strong attention to detail and ability to multitask in a fast-paced environment.
  • Discretion and trustworthiness when handling sensitive information.
  • Strong interpersonal skills and the ability to build relationships at all levels.
